Job Position: Office Coordinator

The Position

The Office Coordinator plays a crucial role within the organization, serving as a vital link to ensure that third-party relationships in SD are maintained according to established standards across all levels, employing sustainable and digital methods. This position encompasses the responsibility of overseeing and coordinating the activities of the Sourcing office, which involves managing a variety of administrative tasks that connect internal teams with external partners in every aspect of their operations. The Office Coordinator directly reports to the Country Manager, highlighting the importance of this role within the business structure.

You Responsibilities

Financial Reporting: Work together with the outside service provider to send over the month-end balances to the finance team in the UK.

Financial Oversight: Collaborate closely with the Country Manager to oversee and regulate internal expenditures and banking operations.

Budget Support: Aid in the development of budgeting processes and consistently oversee and document the comparison between the established budget and actual spending for pertinent stakeholders.

Office Management: Keep an eye on and take care of office spending, including things like maintenance and supplies, making sure everything is dealt with smoothly and thoughtfully.

Supplier Payments: Monitor the disbursement of funds to suppliers in accordance with established payment terms, while also organizing and aligning payment schedules in collaboration with the finance team in the UK.

Documentation Management: Keep detailed records of non-disclosure agreements (NDAs) with suppliers and the processes involved in the approval of the Supplier Manual. This involves methodically organizing and storing all essential documents, making them readily accessible for the legal department\’s review and use.

Supplier Visits: Record the new supplier visits carried out by the Country Manager and furnish stakeholders with regular updates.

Cost Efficiency Strategies: Explore and pinpoint areas in which expenses related to office operations can be reduced, seeking out potential avenues for financial savings throughout the organization.

Legal Coordination: Engage with the UK legal department to acquire the essential documentation required for the Turkey office.

Meeting Coordination: Collaborate intimately with the Country Manager to organize and arrange meetings with various external entities such as banks, tax authorities, and landlords. This ensures that office operations proceed seamlessly and without interruptions.

Human Resources Functions

Absence Monitoring: Keep a careful watch over employee absences, ensuring a comprehensive record is maintained for the purpose of monthly reporting.

Employee Documentation: Ensure comprehensive employee records are kept to meet the requirements of external audits.

Recruitment Assistance: Assess resumes for the preliminary selection of candidates by the country manager, facilitate introductory interviews as needed, and offer constructive feedback on the candidates.

Interview Coordination: Facilitate the arrangement of job interviews by effectively scheduling available time slots and ensuring that the entire process flows seamlessly.

Travel Arrangements: Organize all aspects of travel logistics, encompassing the booking of flights, securing suitable accommodations, and arranging necessary transportation, as required.

Human Resources Training Facilitation: Work in conjunction with the UK Human Resources team to conduct crucial training sessions for the Turkey office, aimed at enhancing HR capabilities.

Onboarding New Employees: Develop and provide comprehensive welcome packages for incoming staff members, organize and oversee orientation timelines, and assist in their acclimatization to the office environment.

Coordination: Make sure the UK finance and legal teams are on the same page with the Turkey Country Manager when it comes to legal and money stuff. Handle any issues that pop up so they get sorted out quickly.

Team Collaboration: Work together with other departments to keep the lines of communication open and share info about office rules, like scheduling regular check-in meetings with everyone involved.

Reporting: Deliver consistent updates to the Country Manager by utilizing the specified templates and reports as requested.

Job Requirements

  • Basic understanding of accounting.
  • Got a good amount of experience working with third-party service providers.
  • Can handle pressure well.
  • Can come up with solutions and make choices.
  • Taking a good look at what needs to be done and figuring out what to tackle first.
  • You’re spot on and really good at paying attention to the little things and getting everything just right.
  • Proficient in both Turkish and English, both in speaking and writing.
  • Being able to communicate well and report on things effectively.
  • Skilled in various Microsoft applications, including Excel, Word, and PowerPoint, with a particular expertise in utilizing Vlookup and pivot tables within Excel.
